A lot of organizers hold off because switching systems feels like it could cost them a year they can’t afford to lose. Here is exactly what your first season on Ovaro looks like, stage by stage, so you can see there’s no cliff edge.
Before you commit
We import your syllabus, free.
Send us your existing classes, syllabus, or fee schedule — spreadsheet, PDF, whatever you have. We import it into Ovaro at no cost, before you sign anything, so you can see your own festival in the system rather than a demo of someone else's.
We do the data entry. You review it.
2–3 months out
Pick one discipline to try.
Most festivals don't move everything at once. Run your dance classes — or just one discipline — on Ovaro this year, and keep the rest exactly as you always have. Nothing about your other disciplines has to change while you get comfortable.
You choose the scope. We configure that one discipline with you.
6–8 weeks out
Registration opens.
Families register and pay for the discipline you've moved over. Your other disciplines keep using whatever they use today. Nobody outside that one discipline notices any change.
Families register themselves. We're on hand if anything looks off.
Festival week
Scheduling, adjudication, and results — for that discipline.
You build the program, judges score on tablets, and results go out on your schedule. Everything else at your festival runs exactly the way it did last year.
Your volunteers and adjudicators run the room. We're a phone call away.
After the festival
You decide what happens next.
If the one-discipline trial worked, bring over the rest of your festival next season, at your own pace. If it didn't, you've lost nothing — your other disciplines never left their current system, and your data is yours to take with you either way.
You decide. There's no lock-in either direction.
A note on your history
What happens to forty years of records?
Festivals with decades of history worry, reasonably, about losing it to a new system. You won’t. Historical results, past programs, and performer records can be imported and kept alongside anything new you enter on Ovaro.
And if Ovaro is ever not the right fit, your data is exportable at any time — no waiting period, no fee, no asking permission. It’s your festival’s history. It should always be yours to hold.
